GENERAL PROVISIONS
Data controller Planavimo Sprendimai, UAB contact details: legal entity registration number: 305172074, address: Ligoninės g. 2-36, LT-62114 Alytus, email: info@trevio.eu (hereinafter – we) (hereinafter – the Company) protects the personal data of its customers, Travio managers and the users (hereinafter – “You” or “Your”) of the Trevio Warehouse system (hereinafter – Trevio Warehouse) in compliance with the strictest technical and legal data protection standards. While processing Your personal data, we strictly comply with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR), the Law on Legal Protection of Personal Data of the Republic of Lithuania, the Law on Electronic Communications of the Republic of Lithuania and other directly applicable laws regulating the protection of personal data as well as the orders of competent authorities.

THE PURPOSE OF THIS PRIVACY POLICY
This Privacy Policy is applied to the services provided by the Company through Trevio Warehouse, a transport management and loading docks’ scheduling platform. It allows you to optimize the planning of warehousing operations from booking time slots for vehicles according to clear rules to the pre-planning of resources with respect to personnel and required equipment regardless of the device (computer, mobile phone, tablet, etc.) used by the user of the Trevio Warehouse system to access the services provided by the Company through the Trevio Warehouse system.
This Privacy Policy is not applicable to third-party websites linked to our websites; thus, we recommend that You review the personal data protection policies of those third-party websites.
By providing Your personal data to the Company via the Trevio Warehouse system, You agree to be bound by the provisions of this Privacy Policy (except for the processing activities where You have to give Your separate consent). You will be deemed to have accepted the Privacy Policy if You have declared by clicking the checkbox that You have read the Privacy Policy while entering Your data in the Trevio Warehouse system. You can come back to this Privacy Policy at any time while using the Trevio Warehouse system.
TERMS AND DEFINITIONS
Data Controller: Planavimo Sprendimai, UAB.
System managed by the Data Controller: Trevio Warehouse, http://warehouse.trevio.eu/.
Services: any and all services provided by the Data Controller relating to the planning of warehousing operations from booking time slots for vehicles according to clear rules to the pre-planning of resources via the Trevio Warehouse system.
The Trevio Warehouse system: a transport management and loading docks’ scheduling platform which allows you to optimize the planning of warehousing operations.
Suppliers: the seller of materials and raw materials.
Buyers: the cargo buyer.
Carrier: a person who performs cargo unloading and loading operations.
Trevio Manager: the employee of Trevio who helps to organise and carry out unloading and loading of cargo from the warehouse.
Driver: a person who operates a vehicle used to unload or load cargoes.
User: a user who has created a user’s profile in the Trevio Warehouse system.
TYPES OF PERSONAL DATA PROCESSED AND PURPOSES OF PROCESSING PERSONAL DATA
The following personal data of the Trevio Manager are processed for the purposes of creating and managing the user’s profile in the Trevio Warehouse system: first name, last name, email address and phone number.
The following personal data are processed for the purposes of booking and scheduling cargo unloading/loading operations, carry out work and ensuring mutual communication:
- Supplier; First name, last name, phone number, address, email address.
- Buyer: First name, last name, phone number, address, email address.
- Carrier First name, last name, email address, phone number.
- Driver: Name, phone number, email address.
The following technical personal data may be automatically collected and processed when the User/Visitor accesses or visits the Trevio Warehouse system:
- IP address;
- the date and time of access;
- the name and URL of the site linked through our Website;
- data relating to the User’s operating system;
- data relating to the User’s internet service provider;
- the User’s geographical location data;
- any other relevant technical information.
METHODS OF DATA COLLECTION AND LEGAL BASIS FOR THE PROCESSING OF YOUR PERSONAL DATA
We collect Your personal data that You provide to us when You book, arrange or carry out service orders via the Trevio Warehouse system and those provided by Your employer (e. g. the carrier provides the data relating to the driver) or business partner (e. g. the supplier may fill in all the details relating the carrier, etc.).
- When You provide (enter) Your details (and/or those of relevant persons) via the Trevio Warehouse system;
- When concluding service provision/purchase agreements;
- When You arrange mutual settlement for services via the Trevio Warehouse system;
- When You consent to the placement of cookies on Your device;
- When You provide Your personal information and/or that of other related persons or when we receive information from third parties subject to Your consent.
The Users of the Trevio Warehouse system must ensure that all personal data that they provide via the Trevio Warehouse system are true, accurate and complete. In case of any change in their personal data, the Users must inform the Company as soon as possible. The Company shall not be liable for any loss or damage incurred by a person and/or third parties in connection with the fact that the User (Supplier, Carrier or Buyer) of the Trevio Warehouse system has provided incorrect, inaccurate and/or incomplete personal data or failed to contact the data controller demanding the supplementation and/or rectification of personal data in case of change of this information.
LAWFUL BASES FOR PROCESSING PERSONAL DATA:
- Agreement (service provision/purchase agreements or other types of agreements);
- Consent (e. g. for direct marketing purposes).
- Legitimate interests (except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject which require protection of personal data).
DATA RETENTION PERIODS
We store Your personal data for as long as is necessary to achieve the purposes mentioned in this Privacy Policy taking into account the nature of the services provided to You or the contracts concluded with You, except for cases where longer retention periods for personal data or related documents are provided for in the applicable laws and are necessary (e.g. mandatory retention periods for accounting records or other documents) or required for the protection of the lawful interests of the data controller in judicial or other state institutions.
The personal data of suppliers, buyers, carriers and drivers entered into the Trevio Warehouse system will be retained by the Company for a period of 10 years from the date of expiry of contractual relationship.
The data entered by the User into his/her Trevio Warehouse profile/account will be stored until such account is removed and will be retained in an inactive state in archives for a period of 2 years from the removal of the account for the purposes of gathering evidence in case of a legal dispute.
We make every effort to ensure that we will not store obsolete or unnecessary information relating You and that Your data are regularly updated and are accurate.
HOW WE PROTECT YOUR PERSONAL DATA
We are committed to protecting the personal data of the Users/Visitors of Trevio Website. For the purposes of processing Your personal data, the Company has implemented and will continue to implement appropriate technical and organisational measures that ensure adequate protection of personal data including the protection of personal data against unauthorized or unlawful processing of personal data or accidental loss, destruction, or damage to personal data. The security activities carried out by the Company include, inter alia, the protection of the Company’s personnel, information, IT infrastructure, internal and public networks, office buildings and hardware.
In the event of breach of personal data security which could pose a major threat to Your rights and freedoms or having identified circumstances under which unauthorized access was gained to specific types of data, we will notify You as soon as possible.
WHO WE SHARE YOUR PERSONAL DATA WITH
Your personal data may only be accessed by a limited number of our employees and by our Company’s IT, consulting, auditing or legal service providers, and only to the extent necessary for the proper processing of Your personal data, and subject to strict confidentiality requirements.
For the purposes stated in this Privacy Policy, we may disclose or give access to Your personal data to the following entities:
- data processors who provide services and process Your data for and on behalf of the Company, serving its interests and observing its instructions (e.g. IT service providers, etc.). It is to be noted that our data processors only process Your personal data in accordance with our explicit instructions and are obliged to ensure proper protection and confidentiality of the data received from us and the organisational and technical measures that meet applicable security requirements as specified in relevant agreements concluded between us and our service providers regarding the processing of data.
- Entities (e.g. courts, state or municipal institutions, etc.) that have the right to receive information in accordance with the requirements stipulated by laws only to the extent necessary to properly fulfil the requirements of applicable laws.
- Some technical data (IP address, cookies, technical information about Your browser, other information related to the browser’s operation or browsing on the website) relating to Your use of the Trevio Warehouse system, website browsing statistics and analytical data may be transferred or made accessible to the entities based within or outside the EU (e.g. when we use Google Analytics).
DIRECT MARKETING
Your personal data may be processed for direct marketing purposes depending on whether You consent to the processing of Your personal data for direct marketing purposes.
You have the right to object to the processing of Your personal data for direct marketing purposes at any time.
The Company will stop processing (and delete immediately) the personal data of the data subject for direct marketing purposes as soon as the data subject expresses his/her objection to the processing of his/her personal data for such purposes.
Your refusal to receive offers and latest information from us will not prevent You from using our services but this will mean that we will be unable to show You offers that may be of interest to You. The Company processes/uses Your personal data for direct marketing purposes for three (3) years from the moment of Your consent and retains them in an inactive state in archives for a period of one (1) year from the expiry date of Your consent except where You revoke Your consent.
PROVISION OF DATA OUTSIDE THE EU AND EEA
Please be reminded that in non-EEA countries personal data can be subject to less strict personal data protection than in the EEA countries. However, we thoroughly review the conditions under which such data will be later processed and stored after they are transferred to the above-mentioned entities.
It is to be noted that if the European Commission has decided that a relevant third country, territory or one or more specified sectors in that third country or a relevant international organisation ensure a proper level of data protection, the transfer of data will be performed in accordance with the same procedure as that applicable within the EU. We ensure the execution of the following rights You are entitled to as a data subject and we guarantee the provision of any related information as per Your request or inquiry:

- the right to access Your personal data being processed by the Data Controller;
- the right to request rectification of incorrect, inaccurate or incomplete personal data;
- the right to request that Your personal data be deleted or destroyed if such data are no longer necessary for the purposes for which they were collected;
- the right to request that Your personal data be deleted or destroyed if the processing of such data is unlawful or if You withdraw or decline Your consent for the processing of personal data where such consent is required;
- the right to object to the processing of personal data and to withdraw the consent You have previously given;
- the right to request that (if it is technically feasible) Your personal data collected on the basis of Your consent or for the performance of the contract be provided in a machine-readable format or request that such data be transmitted to another data controller.

After we receive Your request, we will respond to You no later than within 30 calendar days from the receipt of Your request and from the submission of all documents necessary for us to respond to You.
If we deem it necessary, we will suspend the processing of Your personal data with the exception of data storage until Your request is resolved. If You withdraw Your consent by legitimate means, we shall, without delay and in any event no later than within 30 calendar days, terminate any processing activities of Your personal data except for the cases set out in this Privacy Policy and those set forth in applicable laws, i.e. where further processing of Your personal data is required by law or where we are compelled to do so by legal obligations, court decisions or mandatory orders issued to us by relevant authorities.
If we decline Your request, we will provide You with clear reasons for this decision.
You may appeal against our actions and decisions to the competent regulatory authority – State Data Protection Inspectorate (www.ada.lt). However, we recommend that You contact us first before You file an official complaint so that we can resolve the issue and find the best solution for You.

HOW TO KEEP UP WITH POLICY CHANGES
This Privacy Policy is reviewed at least every two years. Once we update the Privacy Policy, we will inform You about amendments by publishing them in the Trevio Warehouse system.
This Privacy Policy becomes effective from the day of its publication in the Trevio Warehouse system.

We use cookies in order to improve Your experience while using the Trevio Warehouse system. Cookies are small pieces of data automatically created and placed on Your computer or other terminal device when You are using the system. The information gathered by cookies allows us to ensure a more user-friendly browsing experience and better proposals for website users and enables us to learn more about visitors’ behaviour on our website, perform trend analysis and improve our website, our customer support as well as the services provided by us.
